How can AI be useful for my small business?

We all have been exposed to AI tools at this point. Some of us are using the chat interfaces, others use the more useful agentic AI, while some are using inside of their favourite tools like Excel and PowerPoint.

I think it is time we take things to a deeper level with local models, on-prem hosting, agent orchestration and more.

This can help you set up a personal assistant that can read from various sources and give you analysis instead of just data. It can set up meetings, remember important tasks, and help plan your today and tomorrow.

But what value does this bring?

Summarisation.

Anything can be summarised with AI. Your current sales, your expected sales, how well did your last marketing campaign go, how much has the rise in oil prices affected your production, what is the expected demand due to early onset of the monsoon, and so on.

Current AI chatbots can also do this for you, but what they lack is the context. You might have to upload your financial data, your ERP data, and so on which might consume a lot of tokens and additionally this data constantly changes.

An on-prem AI will help not leak your data as it would stay in your own server. It does not need direct file or database uploads as it can be set up to query the data via ERP or RSS feeds.

This will be the quickest way to get answers about your business when you get up in the morning.

Cost Savings.

AI has become necessary in every aspect of a business. With the rise in its capabilities, the compute costs are also rising.

Hosting on-prem with open-weight models means you are not relying on anyone providing you a service. Instead of usage-based billing, you are billed once for hardware and that is it. The only recurring cost is the electricity charges which are minimal compared to the cost of running a subscription.

Additionally with more control over the AI model you are using, you can have access to a better, more optimised database, REST based communication models across services and teams, and a personalised look and feel for your company.

Time Savings.

Have you ever felt the need to go to your account to get an update? You also have to request the head of your marketing about the success of the latest reel and if it generated any real leads or sales. You must also communicate with the tech team to ask if the front-end bug has been fixed or not.

If your company makes enough revenue you might have managers gathering these updates on your behalf, summarising them, and forwarding them to you.

What if you have a question and the manager cannot answer them? So all of the heads whose work has been summarised must now also be included in the meeting.

This wastes precious time and cost.

NLP (Natural Language Processing) is extremely well aligned with gather such data and processing it for you as a summary.

If you have any detailed question about the work, you can continue a conversation with the AI to know more details, pull files and metrics for you without involving another human in the loop.

This severely decreases the time your employees need to spend in meetings about updates and drive up their productivity. By minimising the need for humans in summarising the results and to answer questions, you are saving your time waiting for a confirmation reply before waiting for an analysis.

Better Middle Management.

At any level in a company when there are a group of people working together they have been given a manager. With enough managers working at the same level, they need a manager to manage them. This pyramid of managers who are only aligned with getting the most out of their teams often find themselves underutilised.

AI can help better support these managers. A lot of the mundane work can be given structure and processed better. This frees up the managers from handling reports and can help them connect with teams better to foster productivity, creativity, and develop a better atmosphere for the people they are managing.

The employees would benefit with a better more involved manager who is less concerned with filling out paperwork and more concerned with doing better work.

Unstructured Data.

AI can also work with unstructured data. If all your processes, raw materials, outputs, etc. are all recorded in excel files which have evolved to included more or different details as your business evolved, even still AI can help summarise and make sense of it.

AI does not necessarily need structured data, you can give it photos, PDF documents, voice recordings, and more to extract the data and then categorise and store it in a structured format.

Imagine being able to store the data of every non-computer generated invoice and have the collection available to you with a single question. Instead of shifting through multiple records, simply add everything to a data lake and have AI fetch it for you quickly.

Data Security.

Any of the benefits that I detailed above, can be achieved with a subscription to OpenAI, Anthropic, DeepSeek, or any else. So what could be the concern here?

Any data you upload can be viewed by anyone on their servers, and can be used to further train their models.

Do you want the finances of your company, the details of your best employees, the current program of your R&D team, your future marketing plans just be available for others to read?

Data breaches at bigger companies are more common because of their size and the potential upside of the data that they are holding.

Hosting on-prem means your data stays in your servers. Being private, it minimise risk because it is not exposed to the public. You only store the data about yourself, so the upside for a hacker is minimised.

By hosting open-weight models, you are additionally minimising your monthly recurring costs. You are making a one-time hardware investment and a software based setup. This setup can run successfully without expensive monthly retainers.
